At Arctic Tern Travels, we strive to provide seamless travel experiences across Sri Lanka. We understand that travel plans can change unexpectedly, and this Refund Policy outlines how refunds are handled for tour bookings, transportation services, accommodation reservations, and travel experiences booked through us.

By confirming a booking with Arctic Tern Travels, you agree to this Refund Policy.

1. Booking Deposit Refunds

To secure reservations for hotels, transport, guides, and experiences, we may require an advance deposit.

Refund eligibility:

  • Cancellation made 30 days or more before arrival – Full refund (excluding bank/payment processing charges)
  • Cancellation made 15-29 days before arrival – 75% refund
  • Cancellation made 7-14 days before arrival → 50% refund
  • Cancellation made less than 7 days before arrival – No refund

2. Non-Refundable Bookings

Certain bookings may be fully non-refundable depending on supplier policies, including:

  • Promotional offers
  • Last-minute bookings
  • Peak season hotel reservations
  • Special event reservations
  • Train ticket reservations
  • Domestic flight bookings
  • Customized luxury experiences

Hotels such as Cinnamon Hotels & Resorts or Jetwing Hotels may enforce separate cancellation terms.

3. Refunds for Unused Services

No refunds will be provided for:

  • Missed tours
  • Late arrivals
  • No-shows
  • Unused hotel nights
  • Missed transfers
  • Voluntarily skipped activities

4. Company-Initiated Cancellations

If Arctic Tern Travels cancels a tour due to operational reasons, customers may choose:

  • Full refund
  • OR
  • Alternative travel arrangement
  • OR
  • Travel credit for future bookings

5. Force Majeure Events

Refunds may be limited or unavailable for cancellations caused by events beyond our control, including:

  • Natural disasters
  • Political unrest
  • Pandemics
  • Flight disruptions
  • Government travel restrictions
  • Extreme weather conditions

Refunds in these cases depend on third-party supplier policies.

6. Activity Refunds

Wildlife safaris and attraction bookings at locations such as:

  • Yala National Park
  • Udawalawe National Park
  • Sigiriya

may follow separate cancellation policies set by operators.

Wildlife sightings are never guaranteed.

7. Refund Processing Time

Approved refunds are typically processed within:

  • 7-21 business days

Processing time may vary depending on:

  • Banks
  • Payment providers
  • International transfer systems

8. Currency Fluctuations

Refunds will be processed in the original payment currency.

Arctic Tern Travels is not responsible for losses due to exchange rate fluctuations.
